The Bon Secours Training Center is seeking to fill the following positions:

POSITION: Event Coordinator -- Full Time

REPORTS TO: Events Manager 

FLSA STATUS: Salaried -- Exempt

Position Summary:


ASM, the leader in privately managed public assembly facilities has an excellent and immediate opening for an Event Coordinator at the Bon Secours Training Center. The Event Coordinator provides professional client services support in the organization, supervision of events within the facility, monitoring the logistics of these events, and all event coordination tasks after events are booked through the conclusion, by performing personally or through subordinates the following duties:

Major Responsibilities:


  • Help produce banquets, corporate meetings, outdoor sporting events and high-end private functions at the facility.

  • Supervises hourly staff on an event basis (operations setup/teardown, housekeeping & security.)

  • Create and manage operations staffing schedules on web-based program "WhenToWork".

  • Approve part-time payroll

  • Send out monthly schedule for RMC (security), EMTs, and Police

  • Send out Event Sheet prior to event to Full and Part Time Staff and all vendors including management.

  • Schedules & coordinates meetings between potential clients, vendors, and the venue

  • Prepares an event estimate and sends applications to potential clients. Follows up as needed to book event

  • Updates Master Attendance spreadsheet, tallying the drop count for each event

  • Manage shared Parking Calendar with the Science Museum & ASM Management. Informs Doctor's offices & Science Museum of Event Schedule

  • Coordinates Final Walk Thru prior to the event to go over electric needs, staffing, catering, production, and logistics.

  • Utilize catering software and table mapping program for clients

  • Establish and communicate high standards in relation to the condition of the facility, and communicates these standards with staff, clients, and vendors

  • Provide event orders and financial reports as needed for each event

  • Provides clear, concise, and timely communication of detailed requirements to operational departments. Assists in scheduling operational set-ups to provide equipment or service's needs.

  • Monitors and supervises facility set-up and tear down. 

  • Opens and/or Closes Facility on an event basis

  • Trains event services staff to safety standards set by ASM Richmond thru orientations and monthly meetings

  • Creates post event settlements and financial reporting with oversight by the Events Manager to Finance for each event so that the client can be billed for any balances

  • Follows-up on all client requests, concerns, and problems

  • Maintains and promotes excellent customer experiences by adhering to ASM Richmond's policies and procedures of high customer service.

  • During the months of July and August, assist with the running of a NFL Training Camp event and associated charity events.

  • Manage Pepsi product ordering

  • Serve as Manager on Duty for BSTC events

  • Work closely with Events Manager & Marketing department to ensure up to date information is available on all advertising media platforms for booking & generating new business including but not limited to: 

    • Coordinate Press Kits and Marketing Plans with Promoters and Event Coordinators

    • Retrieves photos from Event Photographers

    • Schedules monthly content on a file shared with ASM Marketing

Knowledge, Skills and Abilities 


  • Familiarity with both indoor & outdoor banquets, galas and meetings with attention to detail as it relates to creativity in decorating and interpreting the client's vision. Interest in sporting events preferred. 

  • Professional presentation, appearance and work ethic

  • Proficient in Microsoft Office suite as well as basic accounting principles, Excel experience required 

  • Must have excellent verbal, written and problem-solving skills. Great interpersonal skills are a must

  • Ability to prioritize multiple projects

  • Supervisory experience

  • Ability to work under limited supervision and to interact with all levels of staff, including management

  • Ability to work long and irregular hours that may vary due to functions and may include day, evening, weekends and holidays in addition to normal weekday hours

  • Coordinate events in a way that will not detract from the business of our tenant Bon Secours Health Systems


Physical Characteristics

  • Must have the physical ability to maneuver around facility(ies), at times, walking and/or standing up to 8-10 hours daily. Assist with set up and tear down for events.

  • Lift at least 25 lbs. to shoulder level

  • Can work in both outdoor and indoor environments.


Education, Experience and Certifications

  • Bachelor's Degree from a four-year college or university (Preferred)

  • 2 to 4 years related experience and/or training or equivalent combination of education and experience in event services.

  • High school diploma or GED equivalent

  • No certifications are required
